Seeking Office Manager

We are looking for an enthusiastic Office Manager to join our team! The Office Manager is responsible for providing support in three major areas: communications, school administration, and business operations. The Office Manager may take on other duties and tasks as determined by the Board of Directors.

Responsibilities include:

  • Prepare and distribute monthly tuition and fee invoices
  • Prepare and make all deposits, pay and mail bills, and reconcile bank statements each month
  • Field parent concerns and questions; problem solve when possible
  • Schedule tours, respond to inquiries, and answer questions from prospective families
  • Maintain admissions and enrollment database
  • Attend to tasks and responsibilities associated with successful operation of school (e.g. communication, enrollment, maintenance, purchasing, compliance)
  • Relay day-to-day information (phone calls, conversations, emails) to faculty and staff
  • Maintain all student, staff, and program records needed for licensing
  • Create and schedule general outgoing communications
  • Stay informed of what is happening in the classrooms; assist when needed
  • Serve as the point person for staff communications
  • Work with teachers to establish and maintain a harmonious classroom environment
  • Schedule and coordinate parent, student, and school events in collaboration with staff
  • Support Board of Directors and parent committees as needed

  • Keep information confidential
  • Be professional and positive in all dealings with parents and children
  • Serve as a member of the school community by participating in staff meetings and social events
  • Understand and promote the school’s mission, vision, objectives, and policies both within and outside the immediate school community

Qualifications:

  • Compassion and appreciation of children
  • Superior written and verbal communication skills
  • Proficiency in PC and Mac platforms, MS Office, G Suite, and comfortable learning new software systems
  • Ability to work comfortably with quickly shifting priorities and interruptions
  • Approved background check
  • Valid driver license
  • Experience working in a school and/or non-profit setting
  • Knowledge of USVI licensing requirements for childcare centers a plus

This position is 20 hours a week. Regular working hours are 8AM-12PM. Position Start date: as soon as filled.
